Warehouse operations are a key pillar in the efficiency and scalability of any industrial or tech-enabled company. At Smartex — a fast-growing startup operating at the intersection of textile manufacturing and AI-based quality control — the warehouse plays a crucial role in supporting production, development projects, and global logistics. With the recent relocation of the warehouse, several operational and digital misalignments have emerged, such as outdated stock locations in the ERP system (Odoo), a lack of standardized processes for incoming materials, misclassified items, and discrepancies between physical and digital inventory.
This context creates the opportunity to rethink and optimize the entire warehouse and inventory management model, aligned with Lean principles and digitally supported by Odoo and Power BI. By addressing current inefficiencies and aligning physical operations with digital systems, Smartex aims to increase traceability, reduce waste (especially stock overages and obsolescence), and improve inventory accuracy — all of which are critical as the company scales.
The internship will focus on designing and implementing improvements in stock management, item classification, layout optimization, inventory reconciliation, and process automation, while also building real-time data visibility through dashboards. This work will serve as a foundation for a more intelligent, scalable, and digitally integrated warehouse operation at Smartex.
Main Goals Expected
– Reorganize the physical layout of the warehouse based on use frequency, weight, and accessibility;
– Update and optimize item locations within the Odoo system;
– Create standardized processes for material receiving, quality control, labeling, and storage;
– Implement accurate classification of items (consumables vs. storables);
– Develop data dashboards in Power BI to support decision-making;
– Define minimum stock levels and replenishment methodologies;
– Configure and deploy a repair module and stock valuation system in Odoo;
– Analyze and coordinate the sale of obsolete components;
– Diagnose and propose a solution for multi-layer BOM stock integration in subcontracted production flows;
– Align physical operations with digital workflows for greater efficiency.
Internship Plan
This thesis will have the following focuses:
a) Analysis of the current warehouse logistics and digital system, including material flows, classification inconsistencies, inventory issues, and the misalignment between physical storage and the Odoo ERP system following the company’s warehouse relocation. Particular attention will be given to discrepancies resulting from subcontracted manufacturing and BOM nesting.
b) Redefinition of the item classification system by distinguishing consumables and storables, establishing optimal storage criteria based on item usage frequency, weight, and relevance. A new layout logic will be developed to improve accessibility and reduce operator movement, aligned with Lean flow principles.
c) Development of standardized processes for material receiving, quality control, labeling, and routing, with specific workflows for consumables and project-specific components, ensuring traceability and efficiency in inbound logistics.
d) Digital integration and optimization within Odoo ERP, including:
– Full mapping of item locations and automated stock updates;
– Configuration of a stock valuation and repair module;
– Diagnosis and mitigation of multi-layer BOM integration issues in subcontracted flows;
– Synchronization between physical movements and digital transactions to ensure accuracy and reduce manual adjustments.
e) Creation of business intelligence dashboards using Power BI, providing visibility into real-time stock levels, historical consumption, turnover rates, and minimum stock alerts. These dashboards will assist operations, procurement, and leadership in data-driven decision-making.
f) Evaluation of improvements through KPI monitoring and operational impact analysis, including before/after metrics on inventory accuracy, stock turnover, space utilization, and value recovery from obsolete materials. Outcomes, challenges, and recommendations for future improvements will be documented to support continued warehouse evolution.
