Dissertation Framework
Maintenance interventions conducted by Smartex’s technical teams at customer factories are essential for ensuring product reliability, customer satisfaction, and long-term service success. However, the current lack of a standardized and digitized workflow results in inconsistent records, delays in invoicing, and limited traceability of field activities.
This context offers a clear opportunity to design and implement a robust ERP-based framework within Odoo to support the entire lifecycle of a maintenance intervention — from scheduling and execution to reporting, consumable tracking, and client invoicing.
The project will involve modeling digital workflows (Work Orders), defining intervention types, capturing technician inputs, integrating stock usage, and automating invoicing triggers — all within a cohesive and auditable ERP structure.
Main Goals Expected
– Implement a technical maintenance Work Order module in Odoo
– Standardize reporting templates and data capture for field interventions
– Ensure accurate logging of working hours and used materials
– Integrate consumables and parts with the stock and procurement modules
– Automate invoice generation based on predefined rules and service templates
– Build business intelligence dashboards for maintenance performance tracking
– Improve traceability and transparency of services provided
– Enable continuous improvement based on operational data
Internship Plan
This thesis will focus on the following workstreams:
a) Current State Analysis
– Mapping existing informal processes for field maintenance
– Identifying gaps in logging, tracking, and billing of technical work
– Assessing digital maturity of current ERP support for maintenance operations
b) Process Design and Specification
– Defining standard workflows for intervention creation, execution, and closure
– Categorizing intervention types (e.g., corrective, preventive, urgent)
– Designing input forms for time, materials, and technical notes
c) ERP Implementation (Odoo)
– Customizing or developing a dedicated Work Order module
– Integration with:
– Stock module for automatic consumable deduction
– Timesheet or Project module for labor cost tracking
– Invoicing module to trigger billing based on completed work
– Automation of approvals and customer reporting workflows
d) Dashboard and Reporting Tools
– KPI visualization: number of interventions, average response time, completion rates
– Material usage tracking per client/project
– Invoicing metrics: issued vs pending
e) Impact Assessment
– Pre- and post-implementation KPI benchmarking
– Internal stakeholder and pilot customer feedback
– Recommendations for future scaling and improvements
